The inbox
never sleeps.

ReplyBay handles customer conversations across inboxes, DMs and social comments, using your business data and your rules.

It's 2am.

A buyer just sent their third message about the same order. Still no reply. Tomorrow, they dispute the charge.

ReplyBay already
answered.

You're still asleep.

Certain replies send.
Uncertain ones wait.

AI Inbox

Every inbox, answered from the order.

Email, WhatsApp, Instagram and Messenger DMs land in one queue. Each reply is drafted from the customer's order and your policies, with its sources shown. Once you turn auto-send on, replies above your confidence threshold go out; the rest wait for you.

Comments

A public question, a sale, a private follow-up.

Instagram and Facebook comments are read like messages. A buying question gets a public answer grounded in the product, a comment-to-DM rule can send the link privately on Instagram, and a complaint under the same post goes to a person instead of a public one-liner.

Automations

Rules you can read in one line.

A comment-to-DM rule watches your Instagram posts for a keyword. When a comment matches, ReplyBay sends your message privately and, if you add one, a short public reply under the comment. Each DM uses 1 credit; the public reply is free.

From first message to the right answer.

The same four steps on every channel. Inbox replies wait for your approval until you turn auto-send on.

  1. Connect

Sign in to Instagram, WhatsApp, Messenger, Gmail or your helpdesk with the provider's own login. Add Shopify so replies can see orders.

Most channels: one sign-in, no code

  2. Understand

Each message is read for what the customer wants. ReplyBay finds the order, the product and the policy that applies before it drafts a word.

    Order, product, policy, past replies

  3. Automate

With auto-send on, replies above your confidence threshold go out on their own. Comment-to-DM rules answer keyword comments on Instagram.

    Your threshold, your rules

  4. Escalate

Payment problems, order changes, legal threats, angry customers and anything below your threshold go to a person, with the conversation and order attached. Refunds and returns do too, unless you opt them in.

Human-only requests never send on their own

Preview of the inbox: a new Instagram message from Emma about changing her order size, an AI draft at 91% confidence held for review, and a team member accepting it so it is sent.

Review the thread with its context beside it.

Every conversation arrives with the order, the knowledge the AI used and a draft with its confidence. When a reply is held, the inbox says why, and one click sends it.

Reads. Drafts. Knows when not to send.

ReplyBay finds the order, drafts the answer, and cites its sources. Confident replies go out on their own. Everything else waits for you.

You decide what sends.

These are the controls every workspace has, and the defaults a new one starts with.

Review first
In a new workspace every inbox reply waits for your approval. Auto-send is a switch you turn on when you are ready.
Your confidence line
With auto-send on, only replies above the threshold you set go out. Everything below stays a draft for you.
Always a person
Payment problems, chargebacks, legal threats, privacy requests and order changes are never sent automatically. Refunds and returns wait for you too, unless you opt them in.
Comments on a policy
Public comment replies and hides, and likes on Facebook, run automatically by default, within your minimum confidence and reply delay. Complaints escalate, and you can switch comment automation off.
Pause
Pause a workspace or a single channel at any time. Every automatic send, comment action and comment DM is held, and your settings are kept.

Proof lives in the product.

Draft, hold, or escalate.

Every conversation keeps its provider, workspace, decision, and delivery state. A draft is never presented as sent.

See what the answer used.

Knowledge and commerce context stays attached to a draft so a reviewer can verify the source before delivery.

Keep every account replaceable.

Reuse an account across workspaces or connect a different one, while every thread remains bound to its original provider.

AI replies cover writing. Credits cover automation. Human work is always free.

Security, privacy and plain answers.

  • EU-hosted core

ReplyBay's application, database, object storage, backups and workflow processing run in Google Cloud's Netherlands region.

  • Named sub-processors

Cloudflare, AI model providers such as Anthropic and OpenAI, payment and email providers, and the channels you connect may process the data their service needs outside the EU. The privacy policy names each one.

  • Not used for training

ReplyBay does not use your customers' messages to train AI models and does not opt them into provider model training.

Read the sub-processor list
Does ReplyBay send replies automatically?

Inbox replies only after you turn auto-send on, and then only those above your confidence threshold. Until then every reply waits for your approval. Public comment replies are the exception: comment automation is on by default, within your minimum confidence and reply delay, and you can switch it off.

Will it sound like my business?

It learns your writing style from replies you approve and resolved conversations, kept private to your workspace, along with your tone settings, help docs and policies. ReplyBay does not train AI models on your data.

What does it use to write a reply?

The conversation, the customer's orders and products from a connected store such as Shopify, your knowledge base and policies, and replies you approved before. The sources a draft used are shown under it.

What always goes to a person?

Payment problems, chargebacks, legal threats, privacy requests and order changes such as cancellations or address changes. Refunds and returns go to a person too, unless you explicitly opt them in. Angry customers and low-confidence drafts are held as well.

Where is customer data processed?

ReplyBay's core application, database, storage and backups run in Google Cloud's Netherlands region. AI model providers such as Anthropic and OpenAI, payment and email providers, and the channels you connect may process the data their service needs outside the EU; the privacy policy names each sub-processor.

How do AI replies, credits and seats work?

Plans are priced by capacity, not per agent. Every AI-written reply uses one AI reply from your plan, and credits pay for automation actions, such as 1 credit for a comment-to-DM. Free, Plus and Pro include one seat, Plus Team five and Pro Team ten. The Free plan includes 100 AI replies and 500 credits every month.

Can I cancel?

Yes, at any time from Billing in the app. Cancellation takes effect at the end of the current billing period and does not delete your account. Fees are non-refundable, except where required by applicable law.
